How to Create Promotions with Amilia

Step 1: Go to the Promotions tab > Add new Promotion > Select a promo type

Step 2: Click on “Add a new promotion” located on the left side of your screen

Step 3: Choose which type of promotion you would like to apply to your program

Promotion based on the participant's age

This promotion allows to modify the price of an activity based on the age of the participant. For example, it can be a reduction of 15% or 5$ for participants under 18 years of age.

Add a name:

  • Define if it is a dollar amount or percentage of a price
  • Enter the age range for the Promotion and the rebate amount.
  • Select the Programs and Activities to which this promo will be applied to.

The Combo Promotion

This promotion allows a client to register for multiple activities amongst a predefined set and recieve a rebate.

  1. Add a name
  2. Define if it is an exact amount or percentage of a price
  3. Enter the number of activities required for the Promotion and the total rebate amount.

Application Mode

Select from one of the following:

  • Apply all rules above to accumulate all rebates: If the client registers to three activities, apply the rebate for both the 2nd activity and the 3rd activity.
  • Apply only the rule concerning the highest number of activities chosen by the participant: If the client registers to three activities, only the rebate for three activities is applied, the others rules are ignored.
Select the Programs and Activities to which this promo will be applied to.

Multi-Person Promotion

More than one person in the same account register to activities in the same predefined set and get a rebate. The rebate can be applied either on the second registrant only or on all the registrants.

  1. Add a name
  2. Define if it is an exact amount or percentage of a price
  3. Enter the qualifying series for the Promotion and the total rebate amount.

Application Mode

Select from one of the following:

  • Apply the rule corresponding to each registrant and accumulate all rebates (fees): If three people register, the 2nd will receive the rebate corresponding to two people, the 3rd will receive the rebate corresponding to three people.
  • Apply only the rule concerning the highest number of registrants and apply it to every registrant: If three people register, only the rebate corresponding to three registrants will be applied to all.

Select the Programs and Activities to which this promo will be applied to.

Preferred Answer Promotion

A price modification is applied depending on the answer provided by the registrant to an extra question asked on the registration form. A possible application for this promotion could be a "coupon code" or a voluntary donation.

  1. Add a name
  2. Define if it is an exact amount or percentage of a price
  3. Enter the qualifying series for the Promotion and the total rebate amount. (Question and answer)
  4. Select the Programs and Activities to which this promo will be applied to.

Postal code (non-residents) Fees

Based on the postal code of the registrant, extra fees can be applied.

  1. Add a name
  2. Define if it is an exact amount or percentage of a price
  3. Enter the qualifying series for the Promotion and the total rebate amount. Enter your pre-defined set of cities for this promo.
  4. Select if the promo will apply for residents or non-residents of the cities you selected, and if the rebate applies to all activities if per-person

How promotions are calculated and applied

The amount granted to a Promotion and the number of Promotions applied influence the total price of an activity. Promotions are calculated and applied in a sequence of three steps. This ensures that all promos are calculated in the same way, regardless of the sequence in which they are applied during the registration process.

  1. First step: Promotions based on the participants' attributes.
    • Age
    • Postal code
    • Preferred answer
  2. Second step : Promotions based on multiple activities
    • Combos
  3. Third step : Promotions based on the presence of several people in one / several activities
    • Multi-person
 

Example

There are two people from the same family in an account. They enroll in activities in a Program associated with a Mutli-Person Promo.

Person A is subscribed to Activity 1. Activity 1 is associated to a promo based on location (Postal Code Promo).

Person B is subscribed to Activity 1 and Activity 2.

The organization offers Combo Promo when someone registers in several activities of the same program.

Both activities cost $100. Without a rebate, the registration for Person A and Person B would be of $300.

The postal code promo is of 25%. The combo promo is 20$. The multi-person is of 10%. The system will carry out the following calculation:

  (Before promos are applied) $100 x 3 $300
Step 1
(Postal Code Promotion - 25%)
Because this promotion applies only to the activity for one person,
it will be 25% of $100 for this activity.
$100 - 25% = $75$300 - $25 (25% de 100) = $275 $275
Step 2
(Combo Promotion 20$)
This promotion will be applied to activities for Person B. $200 - $20 = $180ou$275 - $20 = $255 $255
Step 3
(Multi-Person Promotion 10%)
This promo will be applied to the total $255 - 10% = $229.50 $229.50


The final cost for Person A and Person B is of $229.50.
