The Challenge

When Larry started working at North Branch Nature Center, they were still managing their registrations on a pen-and-paper system which was inefficient, prone to error, and extremely wasteful.

Shortly thereafter, they transitioned to using a customized Microsoft Access database and while this made registration slightly more efficient, it had many limitations, including the inability for their clients to register online.

They wanted to implement a system that allowed for online registration; however they were concerned that a difficult or cumbersome registration process could be a barrier for some clients, causing them to look elsewhere for summer camp programs.

They needed a solution that could handle the multitude of options North Branch offered their clients, such as payment plans, ability to pay by check, member vs. nonmember rates, scholarship discounts, etc. They were also looking for a platform with robust reporting capabilities to allow them to generate attendance lists, health & emergency contact forms, manage waitlists for full camps, etc. And lastly, they needed a solution that was modestly priced, as registration costs would need to be passed along to their clients.  This was a tall order.

The Solution

After completing an online demo with a member of the Amilia team, Larry was impressed by the simplicity and versatility of the Amilia software. The software provided all requirements that North Branch needed to manage and simplify their operations: Reporting capabilities, attendance lists, health & emergency contact forms at a cost that could be auto-financed by registrations.

With Amilia, North Branch moved their confirmation process to a completely digital format, which saved hundreds of dollars in postage, printing, and administrative costs.

The Results

Giving families the ability to register online has greatly facilitated the registration process not just for the center but for the parents and caregivers who register their children. The system is flexible enough that North Branch has still been able to offer a paper-form registration as an option for those not comfortable with online registration.

As a result, the registration process has been streamlined dramatically. Confirmation can be sent out immediately by email upon registration, where the previous system often had a delay. The number of available spaces left in a camp are also updated in real-time, and many families appreciate the ability to know how many spaces were available in each camp.

Larry continues to explore the software and all its functionalities like the online store and clients have even begun purchasing merchandise online!
